Job Summary: The Public Engagement Coordinator will serve as operational coordinator for the public programs and special events of the Eli and Edythe Broad Art Museum at Michigan State University, reporting to the Director of Operations.  The Public Engagement Coordinator’s primary responsibility is to plan and execute both public and private events including rental clients from grassroots community organizations to corporations. Working closely with internal and external stakeholders the person in this role will further the MSU Broad’s strategic goal of fostering a diverse, equitable, inclusive, and accessible environment through collaboration and high quality events.  The Public Engagement Coordinator additionally serves as manager on duty during public hours and events, requiring an in-depth knowledge of the day-to-day operations of the museum facilities including building, security, exhibition, and student staffing processes.

Characteristic Duties and Responsibilities

  • Serve as manager on duty at MSU Broad, Art Lab and offsite events, maintaining museum standard of operations and responding to visitor, facility and staff concerns as appropriate.
  • Provide an exemplary experience to all museum visitors and constituents through personnel, public events, rentals and facility management. 
  • Support internal departments and external collaborators to design, plan and successfully execute approximately 200 public and private rental events per year.
  • Market, contract, plan and execute facility rental events to achieve Museum’s earned revenue goals.
  • Develop and maintain excellent working relationships with clients, collaborators, and vendors.
  • Manage technical, logistical and customer service components of event execution.
  • Ensure effective communication of event objectives and details to all museum staff to ensure effective messaging, customer service and program support.
  • Maintain accurate tracking of museum initiatives, attendance, and budgets.
  • Work in coordination with University departments including Police Department, Residential and Housing Services, and Infrastructure Planning and Facilities as necessary to meet building and visitor needs.
  • Assist Director of Operations with day-to-day functions and additional projects as assigned.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which would normally be acquired in a four year college degree in Public Relations, Communications, Business or in an area related to the work being performed; one to three years of related and progressively more responsible and expansive work experience in a field related to the position including planning and managing special events; or an equivalent combination of education and experience. 

Desired Qualifications

Experience managing a wide range of public engagement events in a multipurpose facility for diverse audiences and constituents.  Extensive experience working with catering and rental vendors to execute successful events.  Ability to work both independently and in a collaborative team environment.  A highly organized individual with the ability to effectively work on multiple projects simultaneously.  Proven success in training, evaluating, and managing employees.  A motivated and flexible individual with an interest in broadening their knowledge in a creative cultural and teaching institution.

Work Hours: Forty hours a week will vary per scheduled events and programs during museum hours; some weekends required

Summary of Physical Demands: Lifting boxes for retail and event decorations. Lifting furniture for programs and events. May need to use latter at times.
