The Utah Museum of Fine Arts is located on the campus of the University of Utah and offers visitors the opportunity to explore over 5,000 years of human creativity with a collection of over 20,000 objects and art works from classic Greek and Roman antiquities to cutting-edge, contemporary art. Founded in 1914, the UMFA is the state of Utah’s art museum, creating exhibitions and programs that serve a wide array of audiences. The UMFA is housed in the award-winning Marcia and John Price Museum Building.
The Registrar is required to develop and implement procedures and practices related to the documentation and cataloging of objects belonging to or on loan to the UMFA. The incumbent will actively pursue and incorporate the best professional practices to improve the standards of documentation, administration, and protection of museum objects. Duties include, but are not limited to, the completion and orderly maintenance of forms, legal documents, computerized records, manual records, and their retrieval systems. Records and retrieval systems are associated with the acquisition, accessioning, deaccessioning, cataloguing, loan, packing, shipping, and insurance of museum owned and borrowed objects.
Accessioning: As assigned he/she oversees the completion of tasks necessary for the processing of objects in discrete accession groups into the Museum’s collection. Tasks include adding information to the data management system (DMS), completion of forms, correspondence, and overseeing the completion of related tasks by other members of the department. 7%
Deaccessioning: As assigned he/she oversees the completion of tasks related to the deaccessioning of objects from the UMFA’s collection. Tasks include updating documentation and the completion of steps necessary for the sale or transfer of museum property. 1%
Loans: The Registrar completes tasks necessary for the processing of incoming and outgoing loans, and loaned (traveling) exhibitions. Tasks include management of all information related to loans, preparation of legal forms, correspondence, transportation or shipping arrangements, and helping coordinate condition reporting and packing and unpacking of objects. He/she will also be required to courier museum objects. 35%
Information Management: He/she participates in developing, updating, and maintaining the Museum’s DMS. The Registrar assists in developing information standards. He/she is responsible for the Museum’s physical collection records archive. The Registrar compiles data for catalog descriptions, enters, and updates data in the DMS as assigned. 25%
Moving Objects: His/her duties include the physical handling, moving, packing, and unpacking of museum objects. The Registrar is responsible for the local transportation of objects and for arranging commercial shipping of museum owned and loan objects, including outsourced crating as required. 15%
Supervisory: The Registrar supervises volunteer and part-time staff assigned to projects under his/her direct responsibility. She/he also helps to develop and present training related to registration procedures, shipping, legal responsibilities, and ethical issues related to the ownership of objects by museums. 2%
Collections Access: He/she assists with access to information on museum collections for staff, students, and researchers. 5%
Rights and Reproduction: The Registrar manages and processes requests from the public and staff for images of objects from the museum’s collections. He/she maintains files on copyright status for objects in the museum’s collection. 5%
Administrative: The Registrar recommends procedures and technologies that enhance the effectiveness of the department. He/she participates in developing and implementing procedures, guidelines, policies, and forms. The Registrar participates in strategic planning, the identification of departmental priorities, and the annual budget. He/she is responsible for adhering to Museum and University policies and procedures for the expenditure of funds and for properly documenting purchases. He/she participates in weekly collections/exhibitions department planning and scheduling, staff meetings, exhibition teams, and staff committees as assigned. 5%
