General Purpose: Reporting to the Director of Publications and Editorial Services, the Assistant Editor manages the development and execution of a variety of editorial projects, including exhibition/collection catalogues, monographs, the annual Bulletin, interpretive brochures, labels, and other printed materials as assigned by the Director of Publications and Editorial Services. Collaborates with internal clients to plan and develop manuscripts; estimates specifications and obtains production estimates; develops budgets; creates and maintains schedules; content edits, copyedits, fact checks, proofreads, and collates copy; hires freelancers and manages their work; assists in setting print runs and retail prices; reviews and traffics contracts for honoraria; manages art; coordinates with designer on color corrections and review of proofs; and coordinates shipping and delivery with printers and museum bookstore. Schedules and prioritizes many simultaneous print projects, ensuring that deadlines are met; coordinates workflow between various departments and adjusts schedules as necessary; checks accuracy of content, which may include not only scholarship but also exhibition dates and donor information; and develops production processes and ensures that they are followed. Develops and upholds editorial styles and standards, researching field conventions as necessary, and independently resolves problems across departments in the area of editorial style and content. Ensures that all materials contribute integrally and actively to the Gallery’s mission. Builds and fosters strong working relationships with internal clients; trains new hires across the museum in editorial and production procedures; and assists in training and overseeing student workers. Provides director of department with additional support as needed.
- Manage publication projects as assigned by the Director of Publications and Editorial Services. Collaborate with internal clients to plan and develop manuscripts; estimate specifications and obtain production estimates; develop budgets; create and maintain schedules; content edit, copyedit, proofread, collect, and collate copy; hire freelancers as necessary and manage their work; organize images and ensure they are print quality
- Working with department’s Editorial Assistant, solicit information from multiple Gallery departments to help set print runs and retail prices; review and traffic contracts for honoraria; for some projects, coordinate shipping and delivery with printer and museum bookstore
- Working with Director of Graphic Design, coordinate between editorial and design work and production; assist with color correction and review of proofs
- Content edit, copy edit, proofread, and collate copy for exhibition labels, grant proposals, interdepartmental forms, confidential reports, and miscellanea, as assigned
- Working with Director of Graphic Design, Director of Visual Resources, and IT staff, assist with digital projects as assigned, including content editing, copyediting, and proofreading. Working with Web Manager, copyedit website text
- Fact check material submitted for publication to ensure accuracy, using research materials, The Museum System (TMS), or other sources
- Schedule and prioritize many simultaneous projects, ensuring that deadlines are met and production processes followed; provide a high level of review to ensure that content is accurate; coordinate workflow between various departments and adjust schedules as necessary; independently resolve problems across departments in the areas of editorial style and content
- Using museum style guide, ensure consistency of printed materials; develop new style standards, based on research of field conventions
- Support Director of Publications and Editorial Services as needed; train new hires in the museum in editorial and production procedures; assist in training, overseeing student workers
- Build and foster working relationships with internal clients
Required Education and Experience: Master’s Degree in English or literature appropriate to the collection and three years of experience editing and researching scholarly materials for publication or an equivalent combination of education and experience.
- Proven ability to manage a print project from manuscript to publication. Excellent writing, editorial, proofreading, and organizational skills. Previous ability generating publication schedules and budgets.
- Strong communication and interpersonal skills with the ability to work well under pressure with a variety of people on a wide range of projects.
- Self-motivated with the ability to work independently. Ability to manage multiple projects for multiple clients and audiences on deadline. Ability to establish and meet production schedules and deadlines.
- Strong knowledge of and interest in art history.
- Demonstrated ability working in a Mac-based environment and working knowledge of MS Office Suite.
- Preferred Education and Experience: Master’s in art, art history, English, or journalism. Experience working in a museum; in a team-based environment; in presenting/articulating creative/print concepts; w/Chicago Manual of Style; w/printing processes, image prep, and color correction w/Adobe InDesign/Photoshop; TMS.
