SUMMARY:

The Galleries & Collection Professional supports daily exhibition and gallery operations, public facing activities, and assists with the permanent collection. Working closely with the Gallery Director, this position coordinates exhibitions, maintains records, supports artists and visitors, and helps create a welcoming, educational environment. This role requires strong collaboration, organization, planning, attention to detail, patience, decision making, trustworthiness, independence and exemplary communication.

The MKAC Galleries hosts year-round art exhibitions featuring student and nationally recognized artists. The facility includes over 2,700 square feet of exhibition space, workrooms, and a multi-million-dollar permanent collection.

RESPONSIBILITIES:

Key Responsibilities

Visitor Services & Gallery Operations

• Serve as primary point of contact; greet and assist visitors, provide exhibition information, schedule tours, and manage communications
• Open/close galleries; maintain clean, organized spaces; monitor security systems; track attendance and engagement; oversee maintenance and cleaning requests

Administrative & Office Support

• Manage phone communications, scheduling, and correspondence; maintain physical and digital filing systems
• Prepare reports, spreadsheets, and documentation; track and order office, exhibition, and collection supplies; schedule tours

Exhibitions & Art Handling

• Assist with exhibition installation (object lists, labels, signage) and documentation; coordinate with artists, students, and stakeholders
• Handle artwork per American Alliance of Museums standards, including condition reporting; object lists, exhibit rotations, deinstallation, and gallery resets
• Facilitate basic gallery maintenance (wall repair, paint touch-ups, lighting/projector adjustments, podium/display upkeep)

Collections

• Catalog and document permanent collection; conduct object research; maintain accurate records
• Utilize collections systems (e.g., PastPerfect) and spreadsheets; ensure proper handling and preservation; prepare documentation for insurance, loans, and exhibitions

Technology & Data Management

• Manage and maintain PastPerfect database, hardcopy files, and Excel; support inventory management and coordinate annual inventory with Business Services
• Coordinate with IT to ensure data backup and server functionality (training and ongoing support provided)
• Utilize Microsoft Office and Adobe Creative Suite for administrative and design tasks

Marketing & Communications

• Assist with promotional materials (print and digital) in collaboration with Strat Comm and Copy Services; support website and social media content, ensure alignment with college branding
• Documentation of exhibitions and events; maintain mailing lists

Events & Public Programming

• Support planning, logistics, setup, documentation, and cleanup for events and programs; coordinate visiting artists and participants

Volunteer & Internship Coordination

• Train, onboard, schedule, and manage documentation for volunteers and interns

Facilities & Logistics

• Assist with shipping/receiving artwork; maintain a clean, safe environment; support disaster preparedness and response

Professional Development & Additional Duties

• Engage in ongoing professional development aligned with museum standards; perform other duties as assigned

QUALIFICATIONS:

  • Bachelor’s degree in Art, Art History, Museum Studies, History, Project Management, or related fields
  • Proficiency in Microsoft Office (especially Excel)
  • Experience with Adobe Creative Suite
  • Strong organizational and communication skills
