Job Summary

RISD Museum seeks a Museum Facilities Operations Manager to join its Facilities team.  The RISD Museum acquires, preserves, exhibits, and interprets works of art and design representing diverse cultures from ancient times to the present. Distinguished by its relationship to Rhode Island School of Design, the Museum educates and inspires artists, designers, students, scholars, and the public through exhibitions, programs, and publications.

The Museum Facilities Operations Manager manages the museum facility operations, including the Museum’s buildings and grounds. Hire, train, develop and assess custodial staff of the Museum. Develop and implement long term capital and maintenance plans, budgets, and policies and procedures consistent with current Museum standards, as approved or directed by the Director of Museum Finance and Business Operations. Liaises with environmental health, building maintenance, custodial and other RISD departments regarding resolution of various situations. Coordinates with Museum Security on risk management planning and training, emergency planning and training, and during a prolonged period of construction and renovation that will require moving and temporary storage of several collections. Essential Functions:

Facilities Maintenance

  • Develop, monitor, and maintain long term facilities and capital replacements and improvements plan and budget in order to map out and have a line of sight into when key systems and parts need to be replaced or upgraded in order to minimize disruption through failures and repairs.
  • Leads the development and maintenance of Business Continuity and Risk Management policies and procedures, in coordination with Director of Museum Finance and Business Operations and the Museum Security Manager. Support and participate in regular training for such emergencies as flooring, severe weather, and other building, campus, or city-wide potential situations.
  • Manage the Museum’s maintenance program. Conduct regular inspections of the building to ensure fire and mechanical systems and facility alarm systems are operational. Report Problems to the RISD Facilities Department, monitor work orders, and coordinate repairs with outside vendors as necessary.
  • Develop relationships and manage contracts with outside vendors for regular repairs, systems maintenance and pest control as needed.
  • Serve as principal contact with RISD’s Facilities Department for mechanical, electrical and HVAC failures and related repair work, ensuring that the Museum’s security procedures are strictly adhered to by coordinating with Museum Security.
  • Hire, train, develop and assess museum custodial staff. Schedule and supervise maintenance and custodial work throughout the building, and maintain the cleanliness of the facility, and that scheduling matches demand and use of the building. Ensure special Event set-up and clean-up are completed on time and to standard.
  • Identify and recommend capital projects related to facility system needs as appropriate. Lead or participate in larger project planning teams, budgeting, and coordination as requested and monitored progress and approved project budgets as appropriate.
  • Lead monthly internal Facilities meeting to foster communication about ongoing and upcoming facilities related work with the Director of Museum Finance and Business Operations, Museum Security Manager, Collection Care Manager, Installation Manager. Prepare and maintain the meeting agenda.
  • Ensure that materials, cleaning supplies, and chemicals used on site for construction, repair, or other uses by the Collection Care Manager and Conservators are appropriate given the needs of our collection.
  • Ensure that our energy and materials use is as efficient and reduces waste as much as possible by consulting with our Climate Emergency team. Convert to more energy efficient technologies as needed.
  • Develop and maintain a Facilities Operations Manual.
  • Develop and execute on an annual and long-range plan for the Museum’s gardens upkeep.
  • Liaise with the Café Pearl Manager on their facility related needs.
  • Participate in weekly Museum Operations Meeting.
  • Ensure the Museum’s facilities meet the requirements for American Alliance of Museums accreditation.

Campus-wide Planning

  • Under the umbrella of overall campus safety and security, and in cooperation with RISD Public Safety and Environmental Health Safety, and Museum Security, support the Museum’s implementation of campus-wide emergency and fire protection policies and procedures, including the evacuation plan, disaster plan, and related materials.
  • Serve as an alternative to the Manager of Security, Safety and Facilities on the RISD Emergency Operations Command Team (EOCT), Fire and Life Safety Committee, and Health Safety Committee. Maintain proficiency in all EOCT Level emergency procedures and be able to perform the duties of the Manager in their absence and as an adjunct at all times.
  • Serve as a Museum liaison, along with the Museum Security Manager, with police, fire, paramedic, rescue, and civil defense authorities; deal effectively with the public on matters involving fire protection, and related operations.
  • Lead bi-monthly meetings with the Director of Museum Finance and Business Operations, the RISD Vice President of Campus Services, and the RISD Director, Planning, Design and Construction to discuss Museum facilities needs and issues with RISD, such as where we need more of their assistance, financial support, RISD Capital Project Committee requests, and other needs for coordinating our work with RISD Facilities. Prepare and maintain the meeting agenda.
  • Attend weekly RISD Facilities department meetings to assist with communication, relationship building with this team, and work order progress.
  • Provide assistance as requested for planning related to the campus construction projects, including but not necessarily related to, Museum expansion and renovation.

  • Keep abreast of industry best practices and join networks of museum facilities professionals

​Required Knowledge/Skills/Experience

  • An ability to relate to, communicate with and gather consensus among a broad range of people (staff, visitors, etc.) with varying backgrounds, experience and expertise is essential.
  • Proven “people” skills in a culturally diverse setting are required.
  • Applicants must have an extensive knowledge and understanding of museum facilities, HVAC, housekeeping, and fire and safety standards.
  • Experience developing and managing budgets and capital improvement plans.
  • Experience managing vendors and vendor agreements.
  • Ability to communicate effectively orally and in writing.
  • An ability to relate to, communicate with and gather consensus among a broad range of people (staff, visitors, etc.) with varying backgrounds, experience and expertise is essential.
  • Capability to respond quickly to alarms and events requiring facilities involvement, deal with building and equipment emergencies, and provide assistance as required.
  • High school diploma
  • Minimum of five years of experience in facilities management in a similar environment or an equivalent combination of education and experience.

Preferred Qualifications:

  • Bachelor’s degree
  • Previous supervisory or managerial experience in an educational, cultural, or related “soft” security environment
