Digital Communications Specialist – Berkeley Art Museum and Pacific Film Archive, University of California

The Digital Communications Specialist joins a forward-looking museum looking to build a highly collaborative team culture, with the opportunity to reshape and advance the brand through integrated digital communication tools and creative storytelling tactics. The position reports to the Director of Marketing & Communications, and is responsible for the creation and technical implementation of accurate and dynamic digital content via email and the website—positioning BAMPFA’s programs and mission to a broad range of audiences, including visitors, members, and donors, as well as students, researchers, and art and film professionals, both locally and worldwide.

The Digital Communications Specialist uses skills as a seasoned, experienced digital communications professional to develop and maintain a robust email marketing program; facilitate integration of ticketing and CRM platforms; and maintain website content and functionality. They demonstrate a full understanding of industry practices and organization policies and procedures, and practice good judgment in selecting methods and techniques for obtaining solutions.

The Digital Communications Specialist is a member of BAMPFA’s marketing and communications department, which includes public relations, design, editorial, marketing, social media, email, and content production for a range of uses, including the website. The position will work closely with the Director of Communications & Marketing, cooperating with all BAMPFA departments to advance effective messaging and brand positioning in support of the institutional goals.

BAMPFA seeks a highly creative individual who is versatile, motivated, and comfortable making critical decisions. This role requires the candidate to work on-site.

Responsibilities

Email Production:

  • Manages email production and processes, integrating best practices around strategy, content, planning, implementation, and analytics.
  • Works with internal stakeholders to identify content and scheduling requirements, list segmentation needs, and accuracy for all email campaigns.
  • Maintains email production schedule, drafting content outlines, routing content for approval, and meeting campaign deadlines.
  • Collates and creates content that aligns with institutional messaging and priorities, crafted with clarity and accuracy.
  • Monitors email performance and uses analytics to drive decision-making.
  • Guides list management strategy, including subscriber preferences, segmentation, tagging, and relational database settings between WordFly and Tessitura, and establishes list growth targets, tracking progress to ensure goals are met.
  • Develops templates and processes for distributing regular email and website analysis; generates and circulates reports on time.
  • Prioritizes email capture and acquisition for list growth across all available platforms, including coordination with frontline museum staff.
  • Produces and builds email templates in collaboration with design, marketing, and development team members.
  • Oversees special campaigns, including email acquisition, survey implementation, and membership communications.

Website Content Management:

  • Maintains up-to-date website content through scheduling, data input, and formatting tasks, including text, images, information, and other media, with primary responsibility for uploading all programs to website.
  • Functions as core team member for website development and redesign projects.
  • Accountable for ensuring accuracy and understandability of web content.
  • Acts as Subject Matter Expert (SME) for email and Tessitura web marketing platforms, collaborating as a part of a cross-functional team within the institution.
  • Advances departmental and institutional technology needs, including CMS and information/content management.
  • Maintains currency with emerging and state-of-the-art technical and other web-related equipment, requirements and developments; makes recommendations, and as directed, takes action to ensure compliance.

Project Management & Administration:

  • Supports cross-departmental email and website needs, including coordination of scheduling, content creation, data entry and updates.
  • Maintains and applies institution-wide editorial guidelines and brand standards to web and email.
  • Ensures accessibility requirements are met and maintained for web and email.
  • Uses audience-driven mindset to advance digital communication tools and practices.
  • Connects with campus professional groups and counterparts, staying up-to-date on university requirements and compliance for key functional areas of the role.
  • Manages the presentation and display of digital communications and public-facing content throughout the institution, including indoor and outdoor screens and marquee.
  • Effectively aligns messaging, voice, and CTAs to audience and medium.
  • Consults with IT and other departments around vendors, and undertakes RFPs as needed.
  • Oversees email and website expenditures, with timely submission of invoices and accurate budget tracking.
  • Guides and supervises work study contributions to website and email.
  • Coordinates on technology upgrade projects, as required.

Required Qualifications

  • Advanced knowledge of web and email best practices including strong technical capabilities in UX, UI, and accessibility, as well as applicable software applications, such as WordFly, Tessitura, and WordPress.
  • Understanding of the fundamentals of design and user experience, able to conceptualize and build digital communications in an appealing, lively and accessible way.
  • Thorough understanding of technical language and requirements of the assigned work.
  • Thorough knowledge of content management systems and/or relevant web applications used for web production and organization-specific computer application programs.
  • Strong writer and editor, with a knack for crafting pithy and concise copy.
  • Practiced mastery of information architecture principles.
  • Thorough understanding of and/or can quickly learn organization’s processes, procedures, and applicable rules and regulations for web communications.
  • Demonstrated critical and conceptual thinking skills to develop and implement original ideas and correctly identify and effectively solve problems.
  • Thorough understanding of and/or can quickly learn BAMPFA programs, audiences, and institutional goals, with an ability to design to meet diverse programmatic needs.
  • Excellent interpersonal communications skills, including active listening skills, the ability to work effectively within teams, and to provide advanced technical advice and consultation on all aspects of digital communications.
  • Bachelor’s degree in related area and/or equivalent experience/training.

Preferred Qualifications

  • Direct experience using Tessitura and TNEW to support ticketing, fundraising, customer relationship management, and marketing for a cultural institution.
  • Direct experience using WordFly.
  • Knowledge of museum industry, and experience communicating to a range of audiences.
  • Advanced knowledge of enterprise content management.
  • Proactive interest in improving processes and efficiency, a drive for excellence.

Salary & Benefits

This is a 100% full-time (40 hrs a week) exempt career position and eligible for full UC Benefits.

The budgeted salary that the University reasonably expects to pay for this position is $74,300 – $80,000 annually. (Due to compliance with California SB-1162, BAMPFA will not be able to offer a candidate anything above this posted amount.)
