Position Summary

The Museum Financial Assistant will provide support to the Museum’s central business office which oversees over $17 million in business activity.  Under the supervision of the Assistant Manager of Financial and Personnel Operations, this position’s primary responsibilities include: purchasing, domestic and foreign, via Princeton PeopleSoft Financial system, Marketplace web sites, and credit card transactions; acting as Museum Cashier preparing deposits for Museum Store, donation box, checks, and gifts; processing accounts payable vouchers and business expense reports; preparing journals and financial reports; reconciling museum revenues and vendor payments; assisting with budget preparation and monitoring budgets for variances; auditing Museum transactions for compliance with policies and procedures; acting as a Museum Time Collection Payroll Representative; and special projects.

The successful candidate will work closely with Museum staff and interact with multiple administrative and academic offices within the University including Human Resources, Facilities, Grants Administration, and the Office of Finance and Treasury. Experience working in a museum or university setting highly desirable.

Essential Qualifications

  • Bachelor’s degree with 2-5 year’s work experience.
  • Strong computer skills and proficient in Microsoft Windows, Word and Excel.
  • Proficiency with entering purchase orders and paying invoices.
  • Ability to work independently and efficiently to produce consistent, high-quality results.
  • A high degree of organization, self-motivation, and great attention to detail is critical.
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to multi-task and prioritize deadlines.

Preferred Qualifications

  • Experience using Princeton University on-line systems including Princeton Prime, Concur, and Time Collection.
  • Experience with cash handling.
  • Experience in accounting or bookkeeping.
  • Interest in museums, art history, and visual culture.
