Visitor Services Coordinator – Bardo Arts Center, Western Carolina University Fine Art Museum

Hourly Rate: $9 – 12/hr 

Summary: 

This exciting, entry-level position provides the opportunity to gain experience in many aspects of the WCU Fine Art Museum. The Visitor Services Coordinator engages visitors to the WCU Fine Art Museum by promoting a welcoming and educational experience. Duties include answering and anticipating visitor questions on the phone, in person or via email, capturing visitor statistics and attendance, performing daily security management, patrolling of galleries, and prompt opening and closing of the Museum. This Position Reports to Bardo Arts Center’s Audience Services Manager. 

DUTIES AND RESPONSIBILITIES 

-Engage with and create fulfilling experiences for visitors by facilitating meaningful connections between WCU Fine Art Museum visitors, exhibitions, and programming. 

-Be prompt and open the Museum at 10 AM Tuesday – Friday, and other times as needed. 

-Follow opening and closing procedures and checklists, including but not limited to tasks such as arming and disarming alarms, adhering to lighting levels, and turning on and off multimedia work on display. Museum procedures are reevaluated every semester. 

-Consistently conduct regular safety inspections, in person and using video surveillance, while following security and operational checklists of museum’s galleries and artwork on display, including multimedia work 

-Assure a safe, secure environment for high-value artwork on exhibit 

-Administer public safety measures when needed 

-Monitor, record, and report climate control levels twice weekly 

-Record daily visitor attendance, demographics, zip codes and prepare visitor statistic reports 

-Prepare incident reports as needed 

-Offer concierge-like services for visitors interested in WCU and other local attractions 

-Ensure visitors and classes abide by established museum etiquette 

-Assist in other administrative duties including calendar coordination, tour scheduling, marketing, exhibit preparation and/or audience outreach, survey evaluation, typing and editing, and campus direction as needed. 

-Maintain excellent communication with museum staff regarding schedules of museum events, tour requests, and special needs 

-Serve as point of contact for the WCU Fine Art Museum, facilitating communication between students, visitors, faculty and staff, and campus partners  

-Shift hours, Daily: Tuesday, Wednesday, & Friday 9:30 AM – 4:30 PM and Thursday 9:30 AM – 7:30 PM. —Reoccurring shift hours: 1 hour before all BAC ticketed events, and WCU Open Houses (up to three per semester.) 

-Work some evening or weekend events, as required 

-Complete other duties as assigned by Bardo Arts Center staff 

KNOWLEDGE, SKILLS AND ABILITIES 

-Customer service skills including the ability to read visitors, be patient and attentive to visitors needs and the ability to communicate effectively with the public 

-Self-starter with the ability to work and problem solve independently 

-Reliable individual who is punctual and communicative 

-Demonstrated ability to meet and greet the general public of all ages and backgrounds 

-Knowledge of public safety procedures and the ability to follow oral and written instructions 

-Knowledge and ability to operate security equipment such as alarm systems and video surveillance software 

-Knowledgeable of museum related and administrative software including but not limited to Microsoft Office, -Microsoft Teams, additional calendars, BAC websites, basic security, etc. 

-Must be in good physical condition, able to lift and/or move moderate to heavy materials and equipment; able to sit, stand and/or walk for extended periods of time – the front desk position fluctuates between active movement and attention, and extended periods of sitting.  

-Excellent written and verbal communication skills 

-Knowledgeable of Fine Art Museum programs and exhibitions 

-Ability to answer and/or direct telephone and walk-in inquiries as appropriate 

-Ability to locate and provide information to visitors and campus partners as appropriate 

-Proficiency in the following software/programs is preferred, but not required: Engage, 25 Live, EClimate Data, Canva, Qualtrics, Survey Monkey 

-A high school diploma, GED, or equivalent experience is required 

WCU Fine Art Museum Hours of Operation:  

Tuesday, Wednesday, and Friday: 10:00 AM – 4:00 PM   

Thursday: 10:00 AM – 7:00 PM 

One hour before all BAC ticketed events 

Up to three WCU Open Houses per semester
